Privacy notice

The Sine Nomine Singers is a charitable incorporated organisation (CIO). This notice explains what personal information we keep, why, and what you can ask us to do with it. If you have any questions, please use the Contact page.

Who is responsible for your information

The Sine Nomine Singers, through its trustees, is responsible for the personal information described here. We are a small volunteer-run choir; only trustees, committee members and the people who need it for a particular job (for example the treasurer for subscriptions, or the librarian for music) can see it.

What we keep, and why

Members of the choir. Your name, email address, phone number and postal address; your voice part; which concerts you sing in and your rehearsal attendance; any roles you hold; your subscriptions and payments; and, if you have made one, your Gift Aid declaration. We use this to run the choir: to plan concerts and rehearsals, to contact you, to collect subscriptions and to claim Gift Aid. Our reason for doing so is our legitimate interest in running the choir, and for Gift Aid our legal duty to keep records for HM Revenue & Customs.

Supporters and the mailing list. Your name and email address, and the fact that you have asked to hear from us. We use it only to tell you about our concerts and news, and you can stop at any time with the unsubscribe link in every email, or by contacting us.

Performers. If you sing or play with us, your name, part or instrument appear in our concert programmes and on the concert's page on this website, and a biography and photograph if you have given us one. A member who would rather not be named in public lists can switch that on their own page, or ask us; they are then shown only to other members.

Messages you send us. If you use the Contact page, your name, email address and message are emailed to us so that we can reply. The website does not keep a copy.

Recordings and photographs. We record and photograph some concerts and rehearsals. Recordings are for members and that concert's performers unless we decide to publish a track on this website; if you would like something that includes you taken down, please ask.

Signing in to this website

Members, former members, supporters and the performers of a recent or coming concert can sign in. You can sign in with a code we email to you, or with a Microsoft or Google account; if you use Microsoft or Google we receive only your name and email address, to recognise you.

Cookies and your browser

This website uses only the cookies it needs to work: one to keep you signed in, a short-lived one while you sign in with Microsoft or Google, one that protects its forms, and, for committee members, one that remembers a “view as” choice. It uses no advertising or tracking cookies and no analytics. When you edit a long piece of text on the site, your browser keeps a copy of what you type until you save it, so that nothing is lost if the connection drops; that copy stays on your own device.

Where your information is kept

On Microsoft's cloud services in the United Kingdom (this website, its database and its files) and in the choir's Microsoft 365 email. We do not sell or give your information to anyone, except HM Revenue & Customs for Gift Aid claims and, where needed, our bank for payments.

How long we keep it

While you are a member or supporter, and afterwards only as long as we need it. Gift Aid and financial records are kept for six years, as HM Revenue & Customs requires. The names of those who sang in past concerts are kept as part of the choir's history; you can ask us to remove yours from public view.

Your rights

You can ask us for a copy of the information we hold about you, to correct it, to delete it, or to stop using it for a particular purpose. Please use the Contact page. Signed-in members can see and update much of their own record on their own page.

If you are unhappy with how we have handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
